Question 1: What's the problem today?

What it costs in time, errors or visibility, with an example or two. Plain words are fine.

Question 2: Who will use it, and roughly how many?

Roles rather than names: supervisors on each line, the quality team, a few people in the office.

Question 3: Which systems does it need to read from or write to?

A database, spreadsheets, a historian, PLCs, a vendor portal, email. Say which it only reads from and which it writes back to.

Question 4: Where will it be used?
Pick any that apply

For example: shared tablets, gloves, no Wi-Fi in the warehouse, locked-down PCs.

Question 5: How should people sign in?
Pick any that apply

Your IT team may already have a rule for this.

Question 6: What does “done” look like?

Something people can do that they can't today, a report nobody has to build by hand, a number you can check after go-live.

Question 7: What constraints should a builder know about?
Reviews and sign-offs it will need

Dates that matter and why: a shutdown window, an audit, a budget cycle, a customer requirement.

Question 8: What have you tried so far?

Spreadsheets, an off-the-shelf product, an internal attempt, a vendor proposal. What worked and what didn't.
